The Payroll Administrator will be responsible for the end-to-end processing of payroll, ensuring compliance with federal, state, and local tax laws, and maintaining accurate employee payroll records. This role will directly report to the Controller and work closely with the accounting team to ensure that all payroll-related tasks are efficiently and accurately handled.

You will:

    • Process Payroll: Process bi-weekly/monthly payroll for all employees, ensuring accuracy and timely execution
    • Ensure Tax Compliance: Ensure accurate calculation, withholding, and remittance of payroll taxes in accordance with applicable federal, state, and local tax laws
    • Maintain Employee Records: Maintain and update detailed employee payroll files, including salary adjustments, bonuses, commissions, benefits deductions, and tax information
    • Payroll Reconciliation: Prepare detailed reports on payroll-related expenses and assist with month-end and year-end reconciliations. Collaborate with the accounting team to ensure payroll aligns with the company’s general ledger
    • Financial Reporting Support: Assist in preparing payroll-related financial reports for internal stakeholders, including accounting, management, and compliance teams
    • Audit & Compliance: Support internal and external audit processes by providing necessary payroll-related documentation and reports. Ensure payroll complies with all legal and regulatory requirements
    • Employee Inquiries: Serve as the point of contact for employees with payroll-related questions and resolve issues in a professional and timely manner
    • Confidentiality & Data Protection: Safeguard payroll information, ensuring confidentiality and adherence to company policies and applicable laws (e.g., GDPR, HIPAA)

You are:

    • Detail-oriented to ensure accuracy in handling sensitive payroll data
    • An excellent communicator, both written and verbal, with the ability to collaborate across departments
    • A strong problem solver, willing to work quickly to address discrepancies and resolve payroll-related issues efficiently
    • Able to prioritize tasks and work independently while maintaining accuracy and meeting deadlines

You have:

    • Bachelor’s degree in Accounting, Finance, or a related field
    • 2+ years of experience as a Payroll Administrator, Payroll Specialist or similar, preferably within a corporate accounting department
    • Strong understanding of payroll processes, tax regulations/compliance, and basic labor laws
    • Proficiency in payroll software (i.e. Rippling, Workday) and Microsoft Excel
    • Knowledge of accounting software and financial systems (preferably NetSuite)
    • Experience supporting organization(s) with employees (including part-time works, contractors) across multiple states
    • Basic understanding of general accounting practices
    • Payroll certification (e.g., CPP – Certified Payroll Professional) a plus
$65,000 – $80,000 a year
