This isn’t just a scheduling role. You’ll partner directly with recruiters, hiring managers, and cross-functional teams to ensure every touchpoint, from first outreach to final offer, reflects the best of who we are. You Will:

  • Own interview scheduling from end-to-end, across multiple time zones and roles, delivering seamless, white-glove experiences for candidates and internal teams.
  • Anticipate the recruiter and hiring team needs to proactively solve scheduling conflicts, remove friction, and accelerate time-to-fill.
  • Act as a strategic partner to recruiters by managing logistics, maintaining ATS accuracy, and helping prep interviewers with timely info and reminders.
  • Collaborate with hiring managers, executive assistants, and leadership to coordinate panels and ensure a polished experience at every stage.
  • Identify opportunities to improve coordination workflows, candidate experience, and hiring team communication, then take the lead in making it better.
  • Support data hygiene in our ATS and partner on reporting or performance tracking for recruiting operations.
  • Assist with hiring events, onsite support, and other ad hoc TA projects as needed.

 

You Have:

  • 2+ years of recruiting coordination or scheduling experience, preferably in a high-growth or startup environment.
  • Proficiency in GSuite, Ashby (or similar ATS), and modern scheduling tools like GoodTime or Prelude.
  • Strong communication skills, written, verbal, and interpersonal, able to build trust with stakeholders from the coordinator level to the C-suite.
  • A mindset rooted in ownership, urgency, and pride in delivering high-quality work.
  • Experience scheduling across time zones (both within the U.S. and Internationally)
  • Comfort managing shifting priorities without dropping the ball.
  • A desire to make things better. You notice broken processes, and you take initiative to fix them.
