We are seeking a highly organized and detail-oriented Administrative Assistant to support four Vice Presidents within our Sales organization. This role is pivotal to ensuring day-to-day operations run smoothly by focusing on tactical administrative tasks, including calendar management, travel coordination, and expense reporting.

Key Responsibilities

  • Calendar Management: Coordinate and manage complex calendars, schedule internal and external meetings, and prioritize competing time demands.
  • Travel Coordination: Arrange domestic and international travel, including flights, accommodations, and ground transportation, aligned with executive preferences.
  • Expense Reporting: Prepare, track, and submit expense reports in a timely and compliant manner.
  • Meeting & Event Logistics: Assist in the planning and execution of team meetings, offsites, and other Sales-related events.
  • Administrative Support: Handle confidential information with the utmost discretion and professionalism; respond to internal and external requests promptly.
  • Process Improvement: Identify and implement opportunities to improve administrative workflows for greater efficiency.

Required Skills & Qualifications

  • 2+ years of administrative experience supporting executives; Sales team experience preferred but not required.
  • Exceptional organizational and time-management skills with the ability to manage multiple priorities simultaneously.
  • Strong written and verbal communication skills.
  • Demonstrated ability to work independently with minimal direction while collaborating effectively within a team.
  • High degree of discretion, integrity, and professionalism in handling sensitive information.
  • Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, etc.) and other productivity tools.
  • Calm under pressure, adaptable to shifting priorities, and solution-oriented.
  • Strong attention to detail and a preference for working behind the scenes in a supporting role.
