The Project Assistant will provide administrative support to project management team (may be one or more people) for construction project, or other specified project or department.
Remote position with travel to jobsites as needed.

Position Responsibilities and Duties:
- Assist with administration of office/jobsite facilities, as assigned
- Inventory of office supplies and materials, order or purchase as needed
- Ensure accurate, standardized filing system of jobsite documents and files
- Organize, and maintain documents, safety sheets, and jobsite forms.
- Assist the project team with hiring/onboarding of craft employees and craft payroll processes. (Non-CA)
- Ensure job close-out procedures (including archiving project plans and files) are correct
- Arrange job start necessities (Printer, Job Start Kit, OSHA Posters, Tablets, Binders, Signage, etc.)
- Ensure safety documentation is current
- Assist with travel arrangements, planning itineraries and scheduling meetings.
- Assist Superintendent Corporate Card consolidation as needed
- Review sign in sheets against SOLV Craft time into Exactime
- Track equipment via Sunscreen
- Prepare communication and reports as required
- Assist in the mobilization and the demobilization of the jobsite trailers and site.
- Code and approve invoices in CMiC
- Prepare Contracts and Change Orders and send out via Docusign
- Update Contracts and Change Orders in CMiC and file appropriately.
- Update Project Directory (SharePoint)
- Set up New Vendors in CMiC
- Maintain Subcontractor compliance in CMiC
- If an OCIP Project – complete/track necessary paperwork
- Open Draws in Textura
- Create Early Payment Releases and Check Payment Request as needed
- Track and Process Contract Labor Time Sheets/Invoices
- Facilitate credit account creation
Minimum Skills or Experience Requirements:
- High School Diploma or equivalent
- Two years of business or secretarial school, or the equivalent combination of training and experience
- Minimum two years secretarial or clerical experience in addition to above training
- Ability to keyboard 45 wpm accurately
- Proficient knowledge of Microsoft Office (Word, Excel, Outlook)
- Working knowledge of general office procedures and office machines
- Proficient in English verbal communication skills, including professional telephone manner
- Proficient in written communications skills, including business writing skills
- Reliability, dependability and flexibility
- Compensation Range:
$23.78 – $29.72
