Payroll, Benefits, and Leave of Absence Manager

Job Summary
We are seeking a Payroll, Benefits & LOA Manager to oversee multi-state management of payroll and leave management vendor, benefits administration, leave of absence (LOA) management, auditing and compliance reporting across 40+ states. This role is critical in ensuring seamless payroll and leave management operations, regulatory compliance, tax registration, and efficient benefits and leave administration. The ideal candidate will be detailed oriented, highly organized, and well versed in Paylocity, Success Factors, tax registrations, multi-state leave management and employee benefit platforms and programs.
Essential Duties & Responsibilities:
Payroll Processing and Administration
Oversee payroll vendor processing payroll for several entities across 40+ states, ensuring accuracy and timeliness
Maintain and update payroll trackers, addressing errors and discrepancies
Ensure all reporting in data is update date and accurate for payroll to be processed
QA completed payroll to ensure all reconciliations were accounted for and updated accordingly
Provide payroll-related guidance and support to employees and internal stakeholders
Manage employee direct connect service to ensure theyre an informed resource and have the proper Q&A guidance to support employees
Liaise with Payroll provider to update all tax registrations and requirements
Checking for changes that require approval in each company code before releasing payroll (ie. tax changes, direct deposits etc..)
Benefits Administration
Manage benefits enrollment, voluntary benefits, COBRA administration, and QLE processing
Administer benefits platform such as Lumity and benefits updates in Paylocity
Ensure compliance and benefits regulations, including ACA and EEO reporting
Check payroll reports for any address changes and confirm updates have been made in Lumity
Completing STD employer portion to be then submitted to Lincoln
Life Insurance check Lumity portal mid-month for changes
Taxes and Compliance
Handle state tax registrations for both employees and employers
Manage unemployment, regional workers compensation, and PFML registrations across states
Support 401(k) audits, testing and reporting
Maintain a compliance calendar with all tax and regulatory requirements
Oversee audits and business license renewals
Bureau of labor statistic processing
Pay data reporting
Leave of Absence (LOA) Management
Manage LOA vendor
Administer Short-Term and Long-Term Disability (STC/LTD) processes in partnership with Lincoln
Approve and confirm eligibility for leave requests
Track LOA-related premium payments
Manage wage replacement process upon return for paternity leave
Liaise with legal and people team on compliance and employee leave matters
Experience, Skills, and Qualifications
5+ years in payroll, benefits administration and HR operations managing multi-state compliance
Systems Knowledge: Paylocity, HRIS, SuccessFactors, benefit platforms including 401(k)
Strong excel and pivot table experience
Regulatory Compliance: Strong understanding of payroll tax law, benefits compliance, and reporting requirements (ACA, EEO, Pay Equity, PFML and 401(k)
Analytical and Calculation Skills: Ability to manage audits, track compliance deadlines, and resolve payroll/benefits discrepancies utilizing strong analytical and calculation skills
Communication & Collaboration: Strong ability to liaise and effectively communicate with employees, people team, legal, vendors and internal stakeholders
Travel Requirements
Occasional pre-planned travel may be required once or twice a year
