The Admin & Enrollment Coordinator is an integral part of the Economic Empowerment team and is typically the first point of contact with clients. This position provides detailed administrative support to programs that help clients achieve rapid financial self-sufficiency through employment and career advancement through career pathways programs. This position provides virtual or in-person presentations of the programs to clients. This position is responsible for completing program assessments, intakes, enrollments, reporting, and other administrative tasks essential to the functioning of the department. This position has direct contact with clients and is often required to use interpreters to communicate.

Role & Responsibilities

Program Outreach and Orientation:
  • Coordinate outreach initiatives aimed at providing immigrant communities in the Greater Sacramento area with information regarding employment and career pathways program opportunities
  • Develop and update program presentations and program flyer information
  • Ensure potential clients are provided with program orientation and clients understand program requirements
Intake and Assessment:
  • Monitor the program referral form daily and contact the clients within 48 hours
  • Assess the potential client’s documentation and determine program eligibility
  • Ensure the potential clients understand the program requirements before enrollment
  • Refer the potential client to other programs for additional support if ineligible for World Relief Sacramento programs
Enrollment:
  • Follow the Program enrollment process and enroll the clients in the program, including, but not limited to:
  • -Completing client assessments and intakes for employment programs;
  • -Accurately update and maintain WRS systems with client enrollment information (Dynamics, Teams, case notes, case files);
  • -Assist with case and file compliance for state and federal monitoring
  • Complete the enrollment process, including completing and signing the enrollment paperwork according to the program requirements
  • Brief the Employment Specialists about the client’s needs and background, including the client’s education and work experience background, English proficiency, and other needs
Record Management and Reporting:
  • Accurately enter client data into Microsoft Dynamics and the internal department tracker in a timely manner
  • Ensure documentation and reporting requirements are met in accordance with grant standards;
  • Ensure department client trackers and Microsoft Dynamics are up to date
  • Maintain accurate case files and client notes for program participants
  • Perform weekly/monthly reports to the management team and donor Administrative Support
  • Evaluate and improve program admin and enrollment process as needed
  • Work on projects to improve program client resources
  • Collaborate with the team for department classes or job fairs
  • Drive clients to appointments or classes as needed
  • Participate in staff meetings and other staff development opportunities
  • Other duties as assigned

  • Ability to speak clearly and comfortably on the phone with partners and participants, which include people with limited English abilities and the use of interpreters
  • Responsive and readily available to clients, staff, volunteers, and community partners, interacting professionally with a customer-service mindset
  • Dependable and consistent in attendance and performance, while flexible and adaptable to the needs of clients and changing program realities Previous experience with interpreters is a plus

  • Desire to serve and empower the Church to impact vulnerable communities
  • Able to affirm and/or acknowledge World Reliefs Core Beliefs, Statement of Faith, Christian Identity and National Evangelicals For the Health of The Nation document
  • Pass a background check
  • Strong knowledge of Microsoft Office applications (Word, Excel, PowerPoint, cloud storage, etc.)
  • Fluency in written and spoken English
  • Minimum of 2 years experience in administrative work with a proven track record of accuracy and detailed organization
  • Valid driver’s license, access to a reliable vehicle, and clean driving record

·         Year-end archiving activities involve repeated lifting and bending.
